Training Operations Coordinator (m/f/d)

As a Training Operations Coordinator, you ensure that Quantum Systems' trainings and demo missions run smoothly. You coordinate training activities, manage UAV assets and equipment, maintain system readiness, and continuously improve the operational processes that enable our global training organization to scale. Working alongside our world-class team, you will not only support daily operations but actively shape how we scale and optimize our training setup.

You will collaborate closely with stakeholders from Repair, Support, Production, Fulfilment, Software Engineering, and Marketing to deliver world-class trainings and outstanding demos. Beyond coordination, you will drive operational excellence by defining standards, improving processes, and managing internal initiatives to support Quantum Systems in becoming the benchmark for aerial data collection solutions with unmanned aerial systems (sUAV).


What is your Day to Day Mission:

  • Training & Demo Operations - Coordinate and support UAV training courses and demo events from planning through execution. Organize schedules, participants, logistics, training materials, and operational readiness. Act as the central point of contact for internal stakeholders and training participants. Ensure smooth preparation and execution of all training and demonstration activities.

  • UAV Fleet & Equipment Readiness - Manage the allocation, handover, return, and tracking of UAV systems, payloads, batteries, and accessories. Maintain training and demo systems in an operationally ready condition. Perform software and firmware updates and coordinate repairs, maintenance, and replacement equipment when required. Maintain inventory records and ensure equipment availability for upcoming activities.

  • Process Improvement & Team Operations - Continuously improve training and demo processes, standards, and documentation. Support the implementation of workflows, automations, and digital tools to increase efficiency. Coordinate internal improvement initiatives and contribute to scaling the global training organization. Support creation and maintenance of operational procedures, training documentation, and reporting structures.

  • Administrative & Compliance Support - Maintain training records, certifications, flight logs, and operational documentation. Support audits and ensure compliance with aviation and internal quality requirements.Assist with reporting, onboarding activities, and day-to-day administrative tasks.


What you bring to the team:

  • You have completed vocational training in a commercial, administrative, or operational field (e.g. office management, administration) or have equivalent practical experience.

  • You bring at least 1–3 years of experience in operations, project coordination, training management, or a comparable role.

  • You have a strong interest in process optimization, operational excellence, and improving how things work.

  • You are structured, solution-oriented, and take ownership of topics, driving them forward independently.

  • You enjoy combining operational coordination with hands-on work involving UAV systems and equipment.

  • You know JIRA/Confluence or similar tools.

  • Your open, communicative, and confident manner allows you to quickly establish yourself as a trusted internal point of contact.

  • Fluent communication in German and English is a matter of course for you.

  • This position requires a predominant activity on site in Gilching, as the support of our training and demo systems as well as the equipment can only be carried out directly at the site.
